Hopian is an insurance agency providing services to the sports and entertainment industry. The existing insurance agency business process and supporting technology was mostly paper based with multiple data entry points. Often the same date was typed into several forms, printed, then retyped into other systems.
 
Hopian desired to create a system allowing salesperson (called producers in insurance speak) to have their clients enter the data into a portal, go over the information with the client, then transmit this information to the insurance company by providing access to this portal via login. The information in the database would be entered to work in concert with ACORD forms, namely the new eForms that ACORD has recently produced. The eForms utilize a new reader purchased from IBM by ACORD and allows data to be entered into forms (using these new non Adobe forms) which can then push the information to a client system and/or the insurance system. AMS is a commonly used agency software package which integrates with Adobe legacy Acord forms. While AMS is an excellent management system, it is not a CRM and has little in the way of sale person tracking abilities. Hopian desired strong sales tracking abilities.
 

HarvestGold's Salesforce.com Solution

Hopian, after an extensive evaluation of CRM systems, desired to use Salesforce.com in concert with ACORD eForms. Both Salesforce.com and ACORD were partners, however, no solution had been created for the integration of Salesforce.com and ACORD. Salesforce.com provided contact information between HarvestGold and Hopian. HarvestGold is a data integration partner with Saleforce.com. HarvestGold has extensive experience in allowing XML data elements the ability to push and pull information between the item storing the data and the Salesforce.com database. Salesforce.com is a CRM software package with strong sales force tracking abilities.
 

HarvestGold and Hopian put together a project plan to integrate the most commonly used insurance form, ACORD 125. This form is the basis of most submissions of client information to insurance companies. The plan involved phases. First phase was to allow data to be entered into Salesforce.com by Hopian salespersons and/or clients by using the Salesforce.com Portal. Fields were created of the same naming convention as the standard in the eForms. These fields will allow client data, once entered into Salesforce.com to be propagated into each other eForm. A huge time saving ability. The first phase allows data to be entered into Salesforce.com and this data is used to generate one ACORD 125 form. The form is then stored in Saleforce.com

Follow on phases will entail the ability to enter information into a form, port that information into salesforce.com. Create other eForms with data in saleforce.com. Insurance company login to view data and create eForms. Client ability to login, enter data, and create eForms.
